1. Who is responsible
Evident is a working product name operated in the United Kingdom by Harry Davison trading as Evident. Harry Davison trading as Evident controls account, billing, enquiry and service-administration data. Customers control the personal data they choose to place in tender workspaces, with Evident acting as their service provider. Questions and rights requests can be sent to evident.tenders@gmail.com.
2. What we collect
We process sign-in identifiers and email addresses, company and billing details, tenders, questions, approved evidence, uploaded files, drafts, team membership and an activity record. Stripe processes card details; Evident receives payment and access status, not full card numbers. The public request form also collects contact and workflow-fit information.
3. Why we use it
We use data to create private workspaces, provide evidence-backed drafting, store and export work, manage paid tender-pack access, secure the service, respond to support and improve reliability. We do not sell customer data or use tender contents for unrelated advertising.
4. Lawful basis and retention
We process customer account and workspace data to provide the requested service and take steps before entering a contract. Security, fraud prevention and basic service improvement rely on legitimate interests. We retain active workspace data while the service is used and then only as long as needed for account closure, legal obligations, disputes and recoverable backups. Public enquiries that do not become customers are normally removed within 12 months.
5. Storage and suppliers
Managed hosting, database and private object-storage providers process service data. Stripe processes payments. When AI drafting is enabled, only the company context and approved evidence selected for that response are sent to the configured model provider. Suppliers may process data in other countries using the safeguards their contracts and applicable law require. Do not place special-category or unnecessary personal data in evidence records.
6. Your rights
Depending on the circumstances, you may ask for access, correction, deletion, restriction, portability or objection. You may also complain to the UK Information Commissioner’s Office. We will respond to verified requests within the legally required period.
7. Cookies and security
Evident does not use cross-site behavioural advertising. Essential sign-in, hosting and security systems may process technical request data needed to authenticate members, prevent abuse and operate the service. Workspace access is checked on the server for every data operation.
